Process
1) Early in the calendar year before, for example January 2012 for the 2013 year, the EOMDOT Band Bookings Coordinator (BBC) prepares a draft schedule for a complete calendar year. The BBC uses the dates entered into the MFS Google Calendar during the EOM Google Calendar Update process.
BBC takes into account factors such as band suitability against the nature of the individual events and the band capabilities required for each, equitable sharing of the 11 or so EOMDC band bookings between the available and suitable bands, billeting needs, market response, cost, and similar factors.
BBC continuously consults with EOMDOT and dancers to obtain feedback on the suitability of various bands. All bands that are suitable for bush dances are allocated a fair opportunity to perform on a rotation basis. It is recognised that a band that may have had a flat night may be quite different a year later, and different bands appeal to different dancers.
2) The EOMDOT considers the draft schedule and if not agreed requests further work on the schedule from the BBC.
3) When agreed, the EOMDOT approves the draft schedule.
4) The BBC contacts bands using the "Invitation to Play" proforma email and finalises the schedule. Material changes arising from band unavailability are considered by EOMDOT. Minor changes, for example swapping dates, may be negotiated by the BBC directly with bands and advised to EOMDOT for "after the event" confirmation.
5) The BBC advises the Bush Dance Web Content Management Team of confirmed bookings to be shown on the End of Month Bush Dances page.

Paragraphs
The collaboratively maintained Google "Paragraphs" document contains pro-forma emails to bands and MFS Accounts, along with other material - publicity paragraphs etc. These standing paragraphs can be modified and then copied and pasted as required.
There is no restriction on access to the Paragraphs document, but public documents are open to abuse, for example spam and vandalism, and so the link to the document must be obtained from the EOMDOT Convenor.
EOMDOT Dance Schedule
The EOMDOT Dance Schedule Google Document contains the band booking schedule, and contact and other notes about bands. Because this document contains notes that could be considered "commercial-in-confidence", access is restricted. The link is available to EOMDOT members and others who have a need to know, from the EOMDOT convenor.
