MFS Google Calendar
The MFS Google Calendar is updated year by year, for example in December 2012 or before, for the 2014 calendar year. The above link will display the MFS Calendar and the Australian Public Holidays Google Calendar, to help in obtaining the last Saturday dance dates.
Editing the Google Calendar
In order to edit the MFS calendar (as in add or remove events), click on the + icon in the bottom right corner of the calendar - at the time of writing it says "+ Google Calendar". If you think you don't have the necessary permissions, send an email to calendar@monarofolk.org.au requesting access.
Repeating Entries
In order to save time, repeating entries are used in the Google calendar, with a reference to detailed information on the End of Month Bush Dances page. The names of bands, and pricing etc are all listed on the permanent page, not in individual Google Calendar entries. This is slightly less convenient for readers, but gives more than 80% of results for much less than 20% of effort compared to individual Google Calendar entries.
New Years Eve Repeating Entry
The New Year's Eve dance has a repeating entry that repeats each year so no action is needed, apart from updating the New Years Eve Dance page each year. The Google calendar entry links to the New Years Eve Dance page.
End of Month Dances
For end of month dances, look through the calendar to find public holiday weekends etc that will break the sequence, and take a note of the "ending" last Saturday date before that public holiday. Return to the starting Last Saturday date and create a recurring entry. Create a "Note: No MFS Bush Dance" entry for the public holiday. Repeat this process for the next set of repeating entries, starting from the date after the public holiday, and so on.
Dates Summary
Keep a note of the dates that you have allocated, and email the dates to eomdot@googlegroups.com as a ready reference so that EOMDOT can check the dates and the Band Booking Coordinator and Publicity folk can use them.
If you have Microsoft Access and would like a copy of a Microsoft Access application that produces summary listings from the Google Calendar, please email the author Lance C <dance(at)pcug(dot)org(dot)au>. If you do not have Microsoft Access, it may still be possible to get the application working on your computer using the free run-time version of Microsoft Access.
Paragraphs Doc
The fields in the Google Calendar entries can be copied and pasted from the collaboratively maintained Google "Paragraphs" document. This document contains pro-forma emails to bands and MFS Accounts, along with other material - publicity paragraphs, web form data entry, wiki code for events on wiki pages, etc. These standing paragraphs can be modified and then copied and pasted as required. There is no restriction on access to the Paragraphs document, but public documents are open to abuse, for example spam and vandalism, and so the link to the document must be obtained from the EOMDOT Convenor.
