Email correspondence to the MFS Committee should be addressed
and clearly marked
for MFS Committee information / attention / action please / etc.
The item will be placed on the agenda for the next MFS committee meeting as correspondence inwards, and forwarded to all committee members via the committee group email by the secretary. The secretary will also arrange for a copy of the correspondence inwards to be delivered to committee members who do not have email. This will normally be along with other meeting papers with delivery on the Friday before the meeting.
The cut-off for correspondence is one week before the MFS Committee meeting. Non-urgent items that miss this closing date will be considered at the following meeting.
Urgent routine matters may be considered out-of-session, in which case the secretary will arrange immediate delivery of related inward correspondence to all committee members for out-of-session consideration.
Correspondence sent to the Society's PO box will be handled by the secretary and if no special action is needed it will be tabled at the next meeting of the committee.
